Alma Workflows

This guide will help you learn about all of the different workflows in Alma that are specific to Miami Dade College, Learning Resources.

Deleting Bib Records

You should only delete Bib Records from the Alma Institution Zone tab!

  1. If you want to delete a Bib Record because you imported it in error (only necessary if you created a holding for it at some point) or it no longer has any items and holdings attached to it at Miami Dade College, start by searching for it in All Titles by Keyword (or any other criteria) in the Alma Institution Zone .
     
  2. Review the results and find the Bib Record that you want to delete. Pay close attention to the details to make sure that the Bib Record has no holdings attached. See below examples:
     
    • Example 1: This record should not be deleted until the Holding Record is deleted first. You can tell it has at least one holding because the Holdings button appears and the Physical tab has a record.

       
    • Example 2: This record can be deleted because it no longer has any holdings. You can tell because the Holdings button does not appear and the Physical tab is grayed out.

       
  3. Once you have identified the correct Bib to delete, click on Edit Record at the top right.

     
  4. This next step is of extreme importance! Because all of our records are linked to the Network Zone, we must first un-link the record we want to delete in order to prevent the NZ record from also being deleted in the process. We can only do this by first copying the record to our Institution Zone catalog, which will break the link. To do this, click on Record Actions at the top of the record and select Copy to Catalog.

     
  5. Next, verify that the copy was successful by making sure you have the IZ record selected now instead of the NZ record. See below examples:
     
    • Example 1: This record should not be deleted because it is the NZ record! You can tell because it has a Network Zone icon. Make sure you have followed step #4 above and copied it to the catalog first to convert it to an IZ record!

       
    • Example 2: This record is the correct one to delete because it is an IZ record. You can tell because it has an Institution Zone icon.

       
  6. After you have confirmed you have the right IZ record, click on Record Actions at the top and select Delete Record from the menu.

     
  7. Click on Yes to confirm deletion.

     
  8. Very Important: As best practice, ALWAYS routinely check your Marc Editor tabs to make sure you have Released all records! You can do this by clicking the MARC21 Bib, Holdings, and DC tabs on the left-hand side of the editor and then clicking the Release displayed records in list  button. The example below shows a Network Zone record that needs to be released:


    You goal should be to always have this list completely clear of any records you are not actively editing! Otherwise, no one in the State of Florida will be able to edit these records until you do so!
